To Add a Template

Start Creating a New Template

  1. Click Add Template at the top-right corner of the Templates page.

  2. The New Template form opens with two sections — Template Details and Content.

  • In the Template Details section, fill in the required fields:

    • Template Name – Provide a name for your template.

    • Template Short Name – Enter a short identifier for internal use.

    • Description – Optionally describe the template’s purpose.

  • Under Template Type, choose the preferred delivery channel:

    • Email – Sends notifications via email.

    • SMS – Sends notifications via SMS.

    • In-App – Displays notifications within the platform.

    • WhatsApp – Sends notifications via WhatsApp.

  • Under Notification Data, select one of the following:

    • Static Content – Use manually entered, fixed content for all recipients.

    • From Datasets – Use dynamic content fetched from datasets.

    • Click Next to proceed to the Content section.

Configure Content (In case of Static Content) - Using Zena (AI Assistant) for Content Generation

The AI Assistant (Zena) is available while configuring content for the following template types:

  • Email

  • SMS

  • WhatsApp

Using Zena (AI Assistant) to Auto Generate Content for Email Notification Channel

  1. Click the Zena icon at the bottom-right corner.

  1. Zena opens a panel with options such as:

    • Welcome Email

    • OTP Email

    • Payment Reminder

    • Invoice Email

    • User Verification Email

  2. Select the type of template you want Zena to generate.

  3. Zena displays a preview and gives an Apply Template button.

  1. Click Apply Template to insert the auto-generated layout into the email body.

Your selected template now appears inside the Body section with placeholders such as {{recipient_name}},{{payment_portal_url}} depending on the template selected.

Using Zena to Auto-Generate Content for SMS Notification Channel

When the selected notification channel is SMS, the AI Assistant Zena can be used to quickly generate SMS message content.

  1. Click the Zena icon on the right side of the Content screen.

  1. Zena opens a side panel asking for the type of SMS message you want to generate.

  1. Choose one of the available SMS message options, such as:

  • OTP Message

  • Login Verification Code

  • Payment Reminder SMS

  • Order Confirmation

  • Delivery Notification

  • Appointment Reminder

  • Welcome SMS

  • Thank You SMS

  1. Based on the selected option, Zena generates the SMS message content and displays it for review.

  1. Apply the generated content to populate the SMS Body field automatically.

  1. Review the message and make any final edits if required, then click Save to create the SMS template.

Using Zena to Auto-Generate Content for WhatsApp Notification Channel

  1. From the Templates page, click WhatsApp Template at the top-right corner.

  1. The WhatsApp Templates page opens, displaying existing WhatsApp templates and their approval status.

  1. Click Create to add a new WhatsApp template.

Fill WhatsApp Template Details

In the Create WhatsApp Template screen, provide the required details:

  • Provider – Select the WhatsApp provider.

  • Category – Choose the appropriate category (e.g., Utility, Marketing).

  • Template Name – Enter a unique template name (as per WhatsApp guidelines).

  • Language – Select the language for the message.

  • Header – Optionally choose a header type (Text, Image, etc.).

When creating the WhatsApp template, the AI Assistant Zena is available to help generate the message body.

  1. Click the Zena icon on the right side of the screen.

  1. Zena opens a panel asking what type of WhatsApp template you want to generate.

  1. Select one of the available WhatsApp message options, such as:

  • Verification Code Template

  • Order Update Template

  • Delivery Notification

  • Appointment Reminder

  • Payment Confirmation

  • Product Promotion (Marketing)

  • Welcome Message

  • Account Recovery Template

  1. Based on the selected option, Zena generates the WhatsApp message content.

  1. Click Apply Template to insert the generated content into the Body field automatically.

Review and Complete WhatsApp Template

  1. Review the populated Body content and ensure it aligns with your use case.

  2. Fill in any required sample values (e.g., sample verification code or expiration time) for WhatsApp approval.

  3. Optionally add a Footer.

  1. The header needs to be added mandatorily. Under Header, choose the header type from the dropdown:

    • None

    • Text

    • Image

    • Video

    • Document

  1. Based on the Header type selection, scroll to the Upload Sample File section.

    1. Click the + Choose button, or click inside the upload area to browse files.

    2. Alternatively, drag and drop the file into the upload box.

    3. Upload a file that matches the selected header type:

      • Image Header: JPG, PNG (up to 5 MB)

      • Video Header: MP4, 3GPP (up to 16 MB)

      • Document Header: PDF, DOC, DOCX, TXT, XLS, XLSX, PPT, PPTX, CSV (up to 100 MB)

    4. Ensure the file is successfully uploaded and visible in the upload area.

  1. Add action buttons if required by clicking Add Button and selecting options such as Call Button or Visit Button.

Submit WhatsApp Template

Once all details are completed, click Submit to save the template.

View or Manage Templates

After saving, the template for Email/Chat/SMS/In-App appears on the Templates page:

Activation Status

  • Blue toggle – Active

  • Grey toggle – Inactive

After saving the WhatsApp Template, the template for appears on the Templates page with their status :

Edit a Template

  • Click the template card to open and modify the details or content.

  • After editing, click Save.

Delete a Template

  1. Click the three dots on the top-right of the template card.

  2. Select Delete Template.

  3. Confirm deletion to permanently remove it from the system.
